Qualifications

  • Bachelor’s Degree with advanced computer skills and / or secretarial course.
  • 1–3 years of document control experience within an Engineering Consultancy, PMC or construction environment (fresh graduates with strong administrative/organizational skills may be considered).
  • Basic understanding of ISO 9001 Quality Management Systems.
  • Proficiency in MS Office applications, with advanced skills in MS Word, including document formatting and template management.
  • Exposure to document management systems such as Aconex, EDMS, SharePoint, or Autodesk Construction Cloud is an advantage.
  • Ability to manage multiple tasks and meet deadlines under supervision.
  • High attention to detail and accuracy.
  • Good written and verbal communication skills.

Business Development

  • Support the team in maintaining quality documentation that reflects well on 9E with clients.
  • Build effective working relationships with Project Managers, Engineers and client representatives.
  • Follow company templates, branding, and documentation standards consistently.
  • Support process and document workflow improvements as guided by senior team members.

Document Control Role

  • Ensure documents comply with company document control procedures and client requirements.
  • Assist in maintaining incoming and outgoing project documents.
  • Register, track, and distribute engineering drawings, reports, RFIs, submittals, transmittals, and correspondence under supervision.
  • Basic knowledge of document numbering, revision control, and status codes.
  • Upload and manage documents in EDMS platforms such as Aconex, SharePoint, ACC or similar systems.
  • Support timely circulation of documents to engineers, designers, clients, and contractors.
  • Monitor document status and follow up on overdue submissions or approvals.
  • Ability to check documents for completeness, naming conventions, revisions, and formatting before submission.
  • Follow established company document control procedures and templates.
  • Ability to coordinate with Engineers, Consultants, Contractors, and Internal Teams for document submissions and follow-ups.
  • Assist in archiving completed project documentation as per company retention policies.

 QA/Quality Role 

  • Support implementation and maintenance of the ISO 9001-based Quality Management System (QMS) within 9E.
  • Assist in maintaining the Project Quality Management Plan.
  • Help log, track, and follow up Non-Conformance Reports (NCRs) under guidance.
  • Support internal and external quality audits — scheduling, documentation, and follow-up on corrective actions.
  • Maintain QA/QC documentation, including records, logs, ITPs, method statements, and checklists.
  • Assist engineering and site teams with quality-related documentation and reporting.
  • Ensure accuracy and integrity of quality-related data and documentation.

Company Role

  • Attend project and team meetings; provide updates on document control status.
  • Apply company document version control procedures and best practices as directed.
  • Apply policies relating to health & safety, quality and training.
